POSITION SUMMARY

Our client is a wholly-owned subsidiary of a major Japanese general construction company. The client has also established a solid position in real estate investment management in the American market.

The client is seeking an administrative assistant who can perform daily office tasks alongside the manager.

 

RESPONSIBILITIES

1.General Duties

  • Answer phone calls

  • Greet visitors, lead them to the conference room, and serve drinks

  • Open, sort, and distribute incoming correspondence

  • Arrange meeting rooms and schedules (including web meetings)

  • Make travel and dinner arrangements for business trips

  • Perform general office duties such as ordering supplies, printing/copying documents, creating PDFs, and maintaining records management systems

 

2.Accounting and Corporate Management

  • Check invoices and expense claim documents

  • Perform simple calculations using a calculator or Excel

  • Assist with expense reimbursements

  • File and retrieve corporate documents, records, and reports

  • Communicate with professionals to receive deliverables or invoices

  • Provide tax filing assistance

 

3.Research and Document-Related Tasks

  • Attend meetings to record minutes

  • Conduct research, compile data, and prepare papers for consideration and presentation

  • Prepare invoices, reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database, or presentation software

  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution

 

QUALIFICATIONS / REQUIREMENTS

  • Bachelor's degree, Associate Degree, or equivalent

  • Proficiency in Japanese and English (at least daily conversation level)

  • 3+ years of assistant work experience

  • Experience using MS-Office (Word, Excel, PowerPoint, etc.) for work

  • Basic IT skills (using computer, email/web meeting communication tools, and file sharing systems)

  • Ability to give full attention to what other people are saying and to actively look for ways to help people

  • Ability to adjust actions in relation to others’ activities and manage one’s own time and others’ time
