POSITION SUMMARY
IT company in NYC is seeking a bilingual Japanese Admin Coordinator to oversee the Provisioning & Purchasing team for internal operations and business unit in NY, while assisting the manager in implementing team best practices. Works to achieve cost efficiencies when acquiring goods and services essential for company operations. Ensures all procured items deliver optimal value, quality, and timeliness.
RESPONSIBILITIES
Source quotations, delivery timeframes, and detailed specifications as requested by sales and/or engineering departments
Create purchase orders through verification of required specifications and pricing, process requests from purchase planners, and secure approval from requesting departments
Manage procurement by submitting orders to vendors/suppliers while monitoring, tracking and expediting ordered items
Confirm item delivery by comparing received products against ordered specifications, and address any shipping discrepancies with vendors/suppliers
Handle purchase payment processing by forwarding necessary documentation and reconciled invoices
Maintain and update system records in NAV and the internal platform
Implement continuous improvement methodologies to enhance interdepartmental workflow processes
Manage documentation requirements including analytical reports, data analysis, and procedural manuals
Support purchasing and organizational objectives by performing additional related duties as needed
Act as the dedicated point of contact for all network orders, addressing internal, customer, and carrier inquiries
Facilitate activation and circuit testing coordination between carriers and the internal engineering group
Develop and deliver purchasing analytics by gathering, examining, and summarizing data and identifying relevant trends
Direct all warehouse operations, including but not limited to shipping and inventory receiving functions
Execute additional assignments as directed by your supervisor
EDUCATIONS
Bachelor's degree in relevant field or comparable professional experience preferred
QUALIFICATIONS
Prior experience in purchasing and/or project management is desirable
Demonstrated supervisory experience
Experience working with IT and network-related operations considered a significant advantage
Strong communication skills for both external and internal stakeholders, with fluency in English and Japanese
Proficiency with Microsoft Office applications (Word, Excel, PowerPoint)
PREFERRED REQUIREMENTS
Corporate office work experience is preferred.
