POSITION SUMMARY

This role involves welcomes clients, prospects, and vendors, promotes a fun and warm workplace for employees, and operates an organized and efficient office to achieve the company’s mission and objectives. This role will require Japanese to English and English to Japanese translations for both teams. This individual may need to work some evenings to be available for Japan/U.S. meetings and liaise with HQ in Japan.

 

RESPONSIBILITIES 

  • Supports back-office functions such as HR, General Affairs, Finance, and Accounting.

  • Provides onboarding and offboarding, payroll management, and support for expat employees.

  • Manages the schedule of senior management, including arranging business travel, and processes expenses for reimbursement.

  • Provides administrative support in the areas of office supplies and general affairs, such as arranging company meals.

  • Interacts with counterparts at headquarters in Japan and coordinates travel and lodging.

  • Contributes to other unit goals as requested.

  • Reinforces company culture and values of truth, trust, sustainability, and diversity.

  • Prepares invoices, reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.

  • Answers phone calls, directs calls to appropriate parties, and takes messages.

  • Conducts research, compiles data, and prepares papers for consideration and presentation by executives, committees, or other meetings.

  • Attends meetings and records minutes when necessary.

  • Greets visitors and determines whether they should be given access to specific individuals.

  • Reads and analyzes incoming memos, submissions, and reports to determine their significance and plans their distribution.

  • Performs general office duties, such as ordering supplies, maintaining records, and managing database systems.

  • Opens, sorts, and distributes incoming mail, packages, and correspondence.

  • Provides communications on behalf of the manager within the applicable organization.

  • Performs all other duties as assigned.


REQUIREMENTS

  • Bachelor’s degree in business administration or related field.

  • Fluent in speaking and writing Japanese.

  • Minimum of 3 years’ experience in administrative/executive support duties in the US.

 

QUALIFICATIONS

  • Excellent verbal, written, and interpersonal communication skills.

  • Organizational, time-management, and problem-solving skills.

  • Highly organized, with excellent attention to detail.

  • Highly competent user of MS Office software (Excel and PowerPoint).

  • Experience with successful client-facing roles, including reception.

  • “Can-do” attitude, quality of work, and ability to get things done.

  • Creative thinker: self-starter with the ability to work independently.

  • Experience working in diverse and international businesses, and good cultural awareness.

  • Strives to improve existing systems, streamlining, and increasing efficiency.

 

SALARY USD50,000-60,000

 

WORK HOURS Monday - Friday 8:30-5:00

 

WORK STYLE Office (5 days a week)
